Job Overview
The Operations Coordinator plays a critical role in keeping Signal's title, compliance, and logistics workflows running smoothly. This role is responsible for processing vehicle title applications, transfers, managing bond releases, coordinating with auction partners, and maintaining accurate records across our internal platforms. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment where accuracy and timeliness directly impact the business.
Responsibilities Title Processing, Bonds & Partner Coordination
Process and manage vehicle title transfers in compliance with state regulations and internal deadlines.
Track bond release dates and ensure title processing is completed within required timelines.
Download, upload, and manage bond release documents from regulatory sources and Bills of Lading from transport partners.
Generate titling application packages using internal tools; ensure accuracy prior to submission.
Monitor titling boards across multiple auction platforms and coordinate with titling partners to ensure titles are sent to correct locations.
Record and process hand-sold vehicle requests, including title reassignment and delivery coordination.
Follow up with customers on missing documentation and provide guidance on next steps.
Compliance & Administrative Support
Provide backup coverage for compliance and border crossing paperwork.
Label orders and maintain vehicle tracking in Signal’s proprietary platform.
Collaborate cross-functionally with internal teams and external partners to resolve title issues.
Complete general administrative tasks and customer tracking as needed.
Qualifications
High school diploma or equivalent required; post-secondary certificate or diploma preferred.
1+ years of administrative, operations, or DMV-related experience preferred.
Strong attention to detail and high accuracy with paperwork and data entry.
Excellent organizational skills; able to manage multiple deadlines and priorities.
Strong written and verbal communication skills.
Proficient with Microsoft Office and comfortable learning proprietary platforms.
Open to utilizing AI tools to improve workflow efficiency.
Self-starter who works well independently and collaboratively.
Preferred Experience
Vehicle titles, registrations, bonds, or DMV/state regulatory processes.
Auction platforms (e.g., ACV, Manheim, Copart) or transport/logistics workflows.
Cross-border (U.S./Canada) shipping or customs paperwork.
What We Offer
$22.00–$24.00/hr depending on experience.
Full-time, 40 hours/week, Monday–Friday on-site at our Ferndale, WA facility.
12 days paid time off per year.
Paid sick leave per Washington State law.
