General: Front Office Assistant will assist and provide backup and fill in for Admin-Accounting as necessary.
I. Customer Service/Receptionist:
A. Answer phones
B. Back-up phone responsibilities include answering questions regarding scheduling and rates for haul outs, lay days, pressure wash and various types of work
C. Present a positive and professional first impression of the company to all potential clients who telephone
D. Schedule haul outs, surveys, boat launches, and equipment use
E. Schedule outs, 1-ways and vessel launches
F. Record the following information in the schedule book: customer name, telephone number, boat type length, vessel name, type of work to be performed and approximate length of stay
G. Ensure that all information regarding haul-out requirements and yard procedures (i.e. removal of furler headsails, subcontractor insurance requirements, BMPs, Hold Harmless Agreement) is conveyed to the customer at the time of scheduling.
H. Maintain Active Job List and update Daily Tasks lists
I. Back-up Admin-Accounting when needed.
• Type up Estimates
• Process Credit Card Payments
• Update Excel Check Register
• Process Billing Package
• Email Customer Invoices
• Complete works orders in conjunction with customers and Operations Manager
• Create job files for each vessel as needed
• Update work orders as needed
II. Other Duties
A. Assist with filling.
B. Assist with maintaining filling.
C. Assist with maintaining copies for work order files.
D. Other Duties as assigned.
