Job Summary
The Program Specialist 2 provides administrative, operational, and program support for Foundation activities, serving as a primary point of contact for donors, Board members, and the campus community. This role coordinates office operations, records management, Board and committee logistics, and routine fiscal and data tasks, including gift processing and financial recordkeeping. The position also supports fundraising and communications efforts, assists with events and donor engagement, and contributes to process improvements, all while ensuring accuracy, compliance, and a professional representation of the Foundation and College.
Reporting Structure/Supervisory Relationship
-This position reports to the WCC Foundation Operations Manager.
Responsibilities
Essential Functions
-Coordinates and supports Foundation operations, including scheduling, Board and committee logistics, records management, vendor coordination, and maintenance of operational procedures and resources.
-Provides administrative support to the Executive Director and ensures efficient daily office operations.
-Serves as the primary point of contact for donors, Board members, and the campus community by managing inquiries, providing information, and routing requests as appropriate.
-Maintains a professional and welcoming office environment and represents the Foundation and College in a positive manner.
-Supports Institutional Advancement activities, including events and fundraising-related inquiries.
-Processes and records gifts and financial transactions, maintains CRM and financial records, and assists with routine financial tracking and reporting in accordance with established procedures.
-Ensures data accuracy, maintains audit-ready documentation, and tracks program activities including funds and grants.
-Coordinates and distributes Foundation communications and support fundraising activities, including donor appeals, engagement efforts, and events.
-Supports continuous improvement of operational processes and ensure compliance with organizational policies, procedures, and regulatory requirements.
-Performs other related work of a similar nature and level.

-Knowledge of basic fiscal processes, including data entry, financial tracking, and maintaining accurate, audit-ready documentation in accordance with established procedures.
-Skill in providing strong customer service to effectively respond to inquiries, provide clear information, and interact professionally with diverse stakeholders.
-Ability to maintain accuracy and attention to detail when managing data, processing transactions, and identifying discrepancies to ensure data integrity.
-Ability to organize and prioritize work effectively to manage multiple tasks, meet deadlines, and support concurrent projects with minimal supervision.
-Skill in using standard office technology and database systems (e.g., CRM systems, Microsoft Office) to manage records, produce reports, and support program operations.

Working Conditions/Environment
-Work is performed primarily in an office or student services setting with frequent direct interaction with students and collaboration with campus and community partners. Position requires prolonged computer use, attention to detail, and the ability to manage competing priorities and deadlines.

Qualifications
Minimum Qualifications
-Bachelor's degree or equivalent combination of education and experience in business administration, nonprofit management, or a related field.
-OR-
-Equivalent combination education and experience sufficient for the person to perform the duties.
-AND-
-Experience using standard office technology, including spreadsheets, word processing, and database/CRM systems, to manage records and support program operations.
-Experience organizing work, prioritizing tasks, maintaining accuracy in data entry and recordkeeping, and following established procedures for administrative and fiscal tasks.
-Experience working effectively and professionally with diverse constituencies, including administrators, faculty, staff, students, and external stakeholders.
-Experience maintaining confidentiality and safeguarding sensitive communications, including donor and financial information.
Preferred Qualifications
-Experience providing administrative or program support to a Board of Directors, Executive Director, or senior management.
-Experience in basic bookkeeping, financial reporting, or gift/fund processing.
-Experience with fundraising support, donor communications, or event coordination.

Licensure, Certification & Other Necessary Requirements
-Employment contingent upon passing a criminal background check and sexual misconduct review.
Salary:
-This is a full-time, classified, WFSE (Washington Federation of State Employees) represented position. Salary is Range 42, starting at Step A, $3,752.00 per month with periodic increments to $4,882.00 per month.

-Accrues 8 hours per month of sick leave and 11.33 hours per month vacation leave with periodic vacation accrual increases based on longevity.
